Context
The CDA Operations team collects and/or maintains personal information in the following contexts:
- The Chandra Users Database
- The CDA Special Requests Form
- ChaSeR
Collection of Information
All information is collected via web forms directly from the users and consists of:
- Name (a,b)
- E-mail address (a,b,c)
- Address (a,b if mailing required)
- Institution (a)
- Telephone number (a)
No authentication is required.
Reason for information collection and intended use
Information is needed in order to respond to request (b,c), i.e., single use. Or information is needed for proposal handling, Newsletter and Bulletin distribution, grant distribution, data distribution (a).
Sharing of information
Information is shared with CXC staff (a), CXC-DS Operations staff if necessary (b), or no one (c).
Consent and corrections
In all cases the information is provided by the user and it is the user's responsibility to provide corrections. The service for which the information is being collected cannot be provided without it or when the information is incorrect. However, in the case of the Chandra Users Database we will make all reasonable efforts to update the information when it is found to be obsolete.
Security
Information for (c) is discarded after use. Information for (a) and (b) is kept in a database with controlled access, only granted to staff with a need to have access.
